You can use ProfiMail in conjunction with another email client (e.g. Outlook, Bat, or other), or you can use ProfiMail as stand-alone full-featured e-mail client. When synchronized, ProfiMail shows the same list of messages as they are on mail server. Note: don't confuse "mail server sychronization" and "direct communication with another email client application". ProfiMail doesn't exchange data with another email client on mobile device or PC. If message from server is deleted (for example after downloading on desktop mail client, or when deleted other way), it will be removed from ProfiMail's mailbox during account updating. Similarly, when you delete message in ProfiMail, the message is deleted from mail server during update. To save bandwidth and download times, ProfiMail can download message headers without bodies, and from the information in the header, it can decide if it will download message body, delete the message, or ignore the message and leave it for later processing on desktop mail client. ProfiMail, being your mobile eye of your mail account, allows you also to hide particular messages from view - this is for cases when you want to ignore some message(s), which you don't plan to read or reply to in ProfiMail, but still want to leave them for further download by desktop mail client. You can either hide messages from menu, or create a Rule, which will automatically hide messages by predefined rule (more about Rules below). This way you can concentrate on messages that interest you on your ways, while ignoring ones that you'll process on desktop computer. Main screen In the Main screen, after running ProfiMail, you can see all your mailboxes. Main screen, displaying accounts and system folders. A) Selected account B) Symbols specifying contents of the account (messages read, unread, ready for sending, and drafts) To create new account, edit existing account, or delete one, use Accounts submenu in the Menu. There's limit of maximum 30 mail accounts that can be created in ProfiMail. In the Account editor, you can set up these parameters: Account name - friendly name shown in the Main screen. E-mail address - e-mail associated with the account - this will be used for sender information when sending messages using the account. Display name - name displayed to recipients of e-mails sent from this account. Mail server type - type of incoming mail server - may be POP3 or IMAP. When changing this parameter, all local messages in the account will be lost. Incoming mail server - POP3/IMAP server from where mail will be read. Contact your network service provider to get these settings. Outgoing mail server - SMTP server used when sending messages. Username - name used to login to incoming mail server. Password - password used to login to incoming mail server. Get entire message - when checked, entire messages will be downloaded from mail server, when unchecked, only new message headers are downloaded during account, and message body may be downloaded later. Include in update - specifies if this account will be automatically updated when selecting Update mailboxes option from the Menu in the Main screen. Send BCC copy to - here you can set email address, where hidden copy of messages sent from this account will be also. Advanced settings - opens new page with advances settings (most users won't need to fill them in): Advanced settings - common to POP3 and IMAP: SMPT authentication - if your outgoing mail server requires you to log-on using username and password, check this option. SMTP username - username used for SMTP authentication. If you enable authentication, and leave this field empty, the same username as for incoming mail server will be used. SMTP password - password used for SMTP authentication. If you enable authentication, and leave this field empty, the same password as for incoming mail server will be used. POP3/IMAP port - port used for connecting to incoming mail server. Fill this field if your mail server uses nonstandard port. If you leave it empty, default port will be used. SMTP port - port used for connecting to outgoing mail server. As with above field, you can leave it empty. Use SSL for POP3/IMAP/SMTP - use secure connection for receiving or sending mail. Download max. KB - Limit on number of kilobytes to download for each message. If message size is greater, it will be truncated, and you can download entire message later. Advanced settings - POP3 specific: Secure POP3 login - if you use pop3 account, and your mail server supports this feature, you can enable to send password over network in encrypted form (using APOP pop3 command). Advanced settings - IMAP specific: Update all folders - if checked, all visible folders will be updated. If unchecked, only INBOX folder will be updated. Drafts folder name - name of folder where drafts will be locally stored. This name may or may not correspond to server folder for similar purpose. If it is not present on server, it will be created locally. Sent folder name - name of folder where sent messages will be stored. Depending on next parameter, send mail may be also uploaded onto server. If it is not present on server, it will be created locally and/or on server when needed. Upload Sent messages - if checked, all send messages will be upload onto IMAP server into folder specified by previous parameter. If unchecked, only local copies of sent messages will be kept. Trash folder name - name of folder where deleted messages will be stored on server. If it is blank, then deleted messages are not moved to IMAP folder. If folder name is specified, all deleted messages are moved to this folder on IMAP server. Download attachments - if checked, attachments will be downloaded immediately while downloading message body. If unchecked, attachments will not be downloaded, however you'll see names and types of attachments, and you'll be able to download them later. Messages limit - here you can specify limit of number of messages to keep in folder at any time. Only latest n messages will be downloaded and kept in mailbox. Updating mailbox During mailbox update, ProfiMail first sends messages ready for sending, then it checks for messages on server, downloads new headers (or entire messages, depending on configuration and Rules), and finally it deletes messages on server which are marked for deletion. When mailbox update completes successfully, the mailbox contains copies of messages, or message headers, as they are on mail server. When new messages are found on server, their headers are downloaded, and processed by Rules (learn more about Rules later). You can update either single mailbox (when you're inside of an account view), or you can update mailboxes of all mail accounts created in ProfiMail - this is done from the Main screen (actually, you can omit some accounts from this batch update, this may be selected in account configuration). Browsing messages When you open an account's mailbox, you get list of messages for that account. From here you can update the mailbox, read or delete messages, write, forward or reply to messages. In the list you'll see currently present messages - for each message you see its icon representing message status (downloaded, read, replied-to, forwarded, etc), along with sender name (or recipient name for outgoing messages), and message subject. List of messages in mailbox with message preview at bottom part. The list contains also messages saved as drafts, and written messages which are ready to be sent during next update. The messages are sorted based on sorting criteria. If some messages are hidden, they're placed at end of list. You can choose in menu if you want to see hidden messages or not (if the option to sow hidden messages is not present in menu, then there're no hidden messages currently in mailbox). Working with messages You can work either with individual messages, or marking one or more messages and working with selection. To mark a message, hold down Shift key (on phones, this is key on which a pen is drawn), and press OK button. You can also hold down Shift and move cursor up or down to select or unselect messages. Marked messages have a check mark next to them. You can also mark all or unmark all messages from the menu. When one or more messages are marked, you're working with the selection (as opposed to working with single message, when there're no messages marked). For m messages, you can delete them, download their bodies, hide or unhide them. When you are working with individual messages (there's no message marked), you're working with currently selected message. The work is similar to working with marked messages, but there're more possibilities: you can forward or reply to message, add sender to Address book. You can also reply to message using different email account (if there's more than one account configured in ProfiMail). To open message for reading, click while it is selected, and its text will be displayed on entire screen. If the message doesn't have downloaded body yet, it will be downloaded first. Reading message When you open message, you get into message reader, where you see message title (sender name and subject), and message body. You can scroll by lines, or you can scroll by entire pages, which gives you fast navigation in longer messages. Using the menu, you can forward or reply to message, or delete it. If you read html mail which and contains hyperlinks, you can click them to activate them (which may either write to mail specified by hyperlink, or open web page, or save target into a file). At bottom you can see current message index and total number of messages in active mailbox, as well as number of unread meassages. You can also easily navigate to previous or next message in mailbox, or delete message. IMAP folders ProfiMail allows to work with IMAP server, offering advanced functionality provided by IMAP. Managing folders When you open IMAP account, you'll see list of IMAP folders as located on server. You may hide folders that you do not want to see/update. Only visible folders will be updated when you select to update all folders. You may perform these actions on folders: Refresh folder list (get list from server) Create new folder Rename folder Delete folder Show/hide folder Note: there may be automatically created temporary folders not present on server, such as Drafts, Outbox and Sent. They're managed by ProfiMail for storing messages in appropriate locations, although if such folders are not present on mail server. Working with Folder When you open particular folder, you get similar functionality as with POP3 mailbox - you may browse, delete, download and read messages and work with them usual way. You may also update contents of folder which is opened. Also you may move messages to other IMAP folder. Just mark messages, or select one message, choose Move To Folder from menu, and select IMAP folder where you want to move the message(s). Note: you need to update the contents of target folder from server in order to see the moved messages, since local copy will be deleted. Updating mailbox The update of IMAP mailbox works similar way as update of POP3 mailbox - messages are sent first (from Outbox folder in this case), then contents of mailbox is synchronized with mail server - sent messages are upload to server (optional), obsolete messages are removed, new headers/messages are downloaded. You may specify in Account Settings, if you want to update only INBOX folder, or all visible folders. There're few special-purpose folders: Drafts - here are stored unfinished draft messages (note: draft messages are not uploaded to mail server, but you may download draft messages from mail server and continue composing them in ProfiMail). You may change the name of this folder. Sent - the messages which are sent are stored here (if saving sent messages is enabled). You may specify name of this folder, and also specify if sent messages are uploaded onto mail server into folder with this name. Outbox - this is a temporary folder containing messages ready to be sent. This folder is created/deleted automatically as needed, if there're some messages ready to be sent. When messages are deleted in ProfiMail, or other email client, they are automatically removed from server during update. So ProfiMail does not keep deleted messages on IMAP server. POP3 folders For POP3 accounts, you can create similar folders as in IMAP accounts, but these folders will not reside on server. All messages located in other POP3 folder than INBOX are stored only locally on device, not on remote server. INBOX folder is created automatically for each POP3 account, and means connection to on-server mailbox. You can create, delete and rename POP3 folders. There're also some automatically managed folders in POP3 accounts: Drafts for messages which are being composed, Outbox for messages ready for sending, and Sent for sent messages. Attachments You can view attachments in downloaded messages, as well as you can send messages containing attachments. What you put into attachment is up on you - it may be photo you've taken with phone camera, song file, video clip or text notes. The built-in file browser will help you to find files you want to send. Attachment browser, located at bottom part of screen. When reading mail containing attachments, you see an attachments bar below message text. You can navigate in the bar to select attachment of your interest, and there're information about file name and size of selected attachment. You can also choose to open selected attachment, which will be done in ProfiMail's built-in viewer, if it is capable to view the attachment, or by finding other application on device which is capable to open the attachment. Furthermore you can save attachment to a file, with help of file explorer by which you select destination. Similarly, when writing message, you can choose to add attachment. Then you'll be taken to file browser to select file which you'd like to attach to message. After selecting at least one attachment, the same attachment browser as for reading mail will appear, where you can browse, view or delete attachments. There's no limit on number of attachments that you can send with message. Delayed download of attachments With IMAP accounts, it is possible to download message text without attachments. To enable this functionality, uncheck the option Download attachments in Advanced account settings. In this case, message text will be downloaded without message attachments. You'll see list of possible attachments as usual (with file names and sizes), but the attachment icon will be more transparent (as second icon in above image of attachment browser). This implies that particular attachment was not yet downloaded from server. You can download attachment by clicking it or by choosing Download option from Attachments menu. You can also choose to Download all attachments from the menu - this will download all not yet downloaded attachments. With delayed attachments download, you can save time and network traffic. If you set up Rule to detect messages below certain size, the Rule will assume message's size without attachments (size of text only) if attachment download is disabled. This will allow you to setup a Rule to download message text below specified size, even if entire message size (with attachments) would be greater than specified size. Note: with POP3 accounts, attachments are always downloaded when message text is downloaded, and this option is not available in Advanced settings for POP3 accounts. Image viewer ProfiMail has built-in image viewer, capable to open and display common types of image files. The image viewer is launched when opening attachments, or when clicking on image file in the File browser. The image viewer provides high-quality image rescaling to various zoom levels. Initially, entire image is fit into screen, and you see shrink ratio at top right corner of screen. You can also choose to see image in original size, or enlarge/shrink image in steps. When image doesn't fit onto screen, horizontal and/or vertical scrollbars are displayed, and you can scroll image in order to see its parts. Text viewer Built-in text viewer allows you to view text files. It is similar to mode when message is read, but there're no options related to messages (such as reply, forward or attachments viewer). You can view plain text, unicode text, or html text (including images and hyperlinks) in the text viewer. The viewer also allows viewing Word documents. Long text may be scrolled the same way as when reading mail. Writing message ProfiMail allows you to write and send e-mail messages. You can either create new message, forward or reply to received message. In each case, you need to add at least one recipient to whom the message will be sent. Either you can type e-mail addresses manually, or you can use Address book to select recipients. If there're more recipients, their addresses must be separated by comma. You can also set priority of sent messages to High, Low, or Normal, and add attachments. Message composer In the message writing editor, you can find a Signatures menu, which allows you to enter predefined text into message you write (typically a signature). You can learn more about this feature in Signatures. When you're done with writing message, choose Send from menu to send it. Based on configuration settings, it is either sent immediately, or it is saved in the mailbox and send during next update. When message is saved in mailbox for sending, and it was not sent yet, you can anytime open it again and edit it, or delete it without sending. Drafts When you want to finish writing a message later, you can save it as Draft message. Such messages are not sent, and remain in mailbox until they're sent or deleted. Address book You can have your contacts stored in the Address book. For each contact, you can set up contact name and associated e-mail address. Address book is available from Main screen, from Tools submenu. After selecting this, an Address book browser will open, where you can edit, add new or delete existing contacts. Another way how to invoke Address book is when you write message, and want to enter e-mail address from Address book. After choosing Add recipient, the Address book will open, and you can select contact so whom you want to send the message. The Address book browser contains search field, where you can start typing text, and only contacts matching the text (either by name or e-mail address) will be displayed. Finally, you can add sender from received message to your Address book. To do so, in opened mailbox, select message from the sender, and in menu choose Add to contacts. The sender of the message will be added to Address book, or updated if its name is already present. Rules Rules allow you to define filtering rules applied when messages are downloaded. Using the Rules, you can create mechanisms for selective downloading of messages, deleting of unwanted messages (spam), or downloading message bodies only from chosen messages. This all is defined once, and then performed on every new message, which match defined criteria. Rules browser ProfiMail has a Rules browser, which allows you to: Create and delete Rules Rename Rules Set order in which Rules are processed Enable or disable Rules Edit Rule The Rules browser is available from Main Screen menu, in Tools submenu. Rule editor This editor allows you to edit particular Rule. You can: Create and delete Conditions Define Conditions' parameters Set Action for the Rule Set logical operation among Conditions to AND or OR Rule editor, defining Conditions and Action for Rule. How Rules work: When (and only when) new message header is downloaded from the server, a Rule is searched that matches header of downloaded message. This happens during updating mailbox. Rules are processed from top to bottom, disabled rules are ignored. The action for first matching rules is performed. If there's no matching rule for the message, default action is performed - this means message header or entire message is downloaded, based on setting in account configuration. Conditions: The Rule's Condition checks if message fields, such us subject line, sender name, To field, etc, contain particular string, or if message size is less or more particular size. If there're more Conditions in a Rule, they're processed either as logical AND (all conditions must be true), or logical OR (any condition must be true). This way, matching Rule is found. If a Rule is found for downloaded message header, an Action defined for the Rule is performed. Actions: The actions for Rule may be one of following: Mark message for deleting - message will be deleted at next update; it may still be un-deleted and downloaded if user decides so. Delete message immediately - the message will be deleted from the mail server during actual mailbox update. User won't see the message. Change message priority to Low or High. Get header only - message body will not be downloaded. Get entire message - entire message, including body, will not be downloaded. Hide message - set hidden flag for message. Such messages are hidden from user's view, and are simply ignored. They are not downloaded, deleted or visible. They may be only seen if user selects "Show hidden messages" in mailbox. They are removed from ProfiMail when they are deleted from mail server. Move to IMAP folder - move the message to specified IMAP folder. Message will be immediately moved to specified IMAP folder, and will not appear in current folder after update. This rule works only for IMAP accounts (for POP3 it is ignored). It is also ignored when updating the IMAP folder specified as destination of moving. Spam filtering ProfiMail doesn't have built-in spam recognition, but it can integrate with Spam Assassin. The Spam Assassin is a server-side program (your mail server needs to support it), which simply writes special value into message header, specifying level by which it determines that a message is spam (specifically it is "x-spam-score" header field, and you can check if it present by looking on downloaded message header in Outlook on a desktop PC). If your mail server uses Spam Assassin to set spam level, you can create a Rule based on value of x-spam-score. Typically value of 10 or more means spam (but you can set threshold to anything lower or higher). Then you can set Rule's action to Mark message for deleting. This way you'll still receive headers of possible spam messages, but they'll be initially marked for deletion at next update, yet you still can undelete them and download them if you determine you want to see them. Note: this technique for spam filtering will work only if your mail server uses Spam Assassin. Please consult your mail provider services to learn about this. Configuration of Spam Assassin is beyond the scope of this manual. Signatures Signatures allow you easily enter predefined text into composed message. Typical use of such text is predefined signature, which you use often, so that it's written once, and simply copied into any message you write in future. Example signature is: "Best Regards, John". You can of course write any text in signature body, and for example use the Signatures for templates of several messages that you send often. The Signatures are available when you compose a message. In the menu, open Signatures item, and choose signature you want to enter. The signatures are listed here by their short name, and are sorted by most recently used at top. Note: if you do not have defined any signature yet, there'll be only Edit Signatures option available. Signatures editor You can edit your signatures by choosing Edit Signatures option in the menu. In the Signatures editor. In the top half of screen are listed all signatures by their short name. In lower half of screen, you can see actual text associated with currently selected signature. You can: create new signature delete existing signature rename signature edit signature text Entering signature in to composed message. Signatures editor - here you can manage and edit your signatures. Configuration The program global configuration is available from the Main screen's menu. The configuration has following options: Auto-update time - time period, in minutes, after which ProfiMail will check for new messages automatically. Leave this empty to disable automatic update. The automatic mailbox update works when you're in Main screen (all accounts will be updated), or you have opened an account (only this account will be updated). Text font size - size of font used when viewing or composing text. Show data counter - using this option, you can choose to display data counter when sending/downloading data from Internet. This will give you information on your data traffic, what is useful if you pay for amount of transferred data to your mobile operator. You can choose: no counters, counters for current session (since starting the program), or total accumulated counters since last resetting of the counters. Date format - format how date will be displayed. Connection time-out - time, after which inactive connection is considered to be lost, and it is closed. Note that GPRS connections may expose occasionally big latency, so it is recommended to keep this value reasonable, for example 2-5 minutes. Send immediately - if enabled, messages are sent immediately when choosing Send in the message composer. If unchecked, messages are queued in their mailbox, and sent during next mailbox update. Save sent messages - specifies if copies of messages that you send will be stored after sending. Notification sound - sound played when new messages (or headers) are downloaded from mail server. With automatic account update, this can notify you when new mail arrives. You can choose which sound will be played. Notification volume - volume of sound notification, in range 0-10. To disable notifications, set this value to 0. Download HTML images - if checked, images in html mail referenced externally (as hyperlinks to Internet) will be downloaded at background while reading mail. If you want to save Internet traffic, or do not want to download images in messages, disable this option. HTML images scale - scale of images displayed in HTML text. Because of smaller screen size of mobile device, images are scaled down, in order to be consistent with text, and better orientation in text is achieved. Note: larger images are always scaled down to fit to screen width. Language - application user interface language. Program password - used to set (or clear) password, which will be required for starting ProfiMail. Color theme - colors used in the program. Access point - here you can select which Internet access point (IAP) to use for Internet connection. If you choose Automatic, you'll receive a list of available access points at start of each connection (on Symbian S60), or attempt to connect to default IAP. Alternative access point (Symbian 9.x only) - alternative Internet access point, used if connection to primary access point fails. This way you can setup preferred and alternative connection access, depending on their availability. Export and Import settings You can export ProfiMail settings to a file, and import these later on same or different device. This is a comfortable way of using ProfiMail with your personal settings on another device. When exporting settings, you can specify location where settings will be saved, and choose file name. By default filename "Settings.profimail" is suggested. Exported file have always extension ".profimail". Exported settings include: Accounts Rules Signatures The settings do not include downloaded messages or contact entries. You can transfer saved ProfiMail settings file to other device by Bluetooth, by Email, using PC, or by other common way of file transferring. When you choose to import saved settings, you will be prompted to locate the setting file. If successful, settings will be imported. All Accounts, Rules and Signatures will be recreated from imported file (this means that current ProfiMail settings will get lost). Note: downloaded messages are not preserved when importing saved settings. After importing, accounts will be empty, and you'll have to download messages from server again. File Explorer File explorer is directly integrated with the ProfiMail application. It is used for: Choosing target for saving attachments Browsing attachments when composing message Exploring contents of ZIP files Viewing saved files Managing files on device memory or memory card - functions are available for copying, renaming, deleting, viewing, executing, sending files and folders The File Explorer displays hierarchical view of drives present on device, or representing inserted memory card. Folders containing sub-folders or files may be expanded, in order to see the folder contents. Selected file may be viewed, either in ProfiMail's built-in viewer (if it can display the file), or by external application installed on the device. Hierarchical view on drives, folders and files. Commands for working with folders and files are available in the Menu. Registration screen. Your device serial number is essential for correct refistration. After purchase, you'll receive your unlock key, which you need to enter in the Register menu on the ProfiMail installed on your device. After entering correct key and pressing OK button, you'll get confirmation message about successful registration. From now on, you can use ProfiMail without limitations. Upgrading When you purchase this software, you may get future upgrades for free. To upgrade newer version, please download it from software shop where you purchased the product, or from Lonely Cat Games web site, and install it on your mobile device. If you have already registered earlier version of the software, it will be unlocked after installing newer version. You do not need to enter the unlock key again. Do not remove previous version before upgrading, because your settings and messages could be erased. Rather, install newer version over previous, to the same location, and your settings (accounts, messages, signatures, etc) will be preserved. Security and privacy SSL/TLS With ProfiMail you can get secure e-mail connection using SSL/TLS. The use of this option depends on your sensitivity to send/receive email using secure connection as opposed to using plain nonsecure Internet connection. With SSL/TLS entire communication with your mail servers are encrypted. However, not all servers offer secure connection, you have to check this with your email provider. It may be also possible that establishing connecting to server using SSL-enabled connection may take longer than when using non-secured connection. Some POP3 mailboxes also allow using APOP form of login, where password is not sent in clear form over Internet. You should check availability of this option with your email provider. Privacy ProfiMail may perform online check to verify if ProfiMail is used legally. This happens maily with registered (unlocked) program version. During this check ProfiMail may compare device's serial number, the same that was supplied by customer during puchase for generation of unlock key (IMEI or device owner name) with serial number stored in developer's database (over the Internet), to verify if unlocked ProfiMail version has associated customer, or if license was for example transferred on customer's request to his/her new device, in which case ProfiMail's license on old device will be considered expired. This check is performed occasionally (not during every connection to your mail server), and consumes negligible amount of network traffic. No user sensitive information is being transferred during this check. Application password Users can configure password for invoking ProfiMail. This way, application is protected against undesired access to user's email data. Passwords Passwords used to login to your mailbox are stored in device's memory (or on memory card) in hashed form, so even if you lose your device, your passwords will not be found in memory in plain text form. However anyone having access to your device can download your email, so in case of device losing or theft we recommend to change passwords of your mailboxes. screens and info here Code:
